Audit

What AI is actually doing today

  • Inventory of AI features enabled: Breeze, Buyer Intent, Customer Agent, other Breeze Agents, Breeze Assistants, Smart Properties, AI Workflow actions

  • Quick review of how teams really use them (if at all)

  • Identify manual, repetitive tasks that AI could assist

  • Note any historic “AI experiments” or generic setups now causing confusion

Output: one-page AI usage summary and a shortlist of processes to improve.

Planning

Choosing the right jobs for AI

  • Map the current process for each shortlisted area (for example: SDR prospecting, account reviews, ticket triage)

  • Decide which steps AI should support, and which must stay human-only

  • Recommend specific HubSpot AI tools for each process

  • Explain HubSpot credits in the context of your portal

  • Identify which specific AI tools or Agents are the primary consumers of these credits

  • Estimate likely credit usage and set sensible limits

Output: a 1–2 page AI activation plan that your leadership can sign off.

Configuring the parts that matter

We then configure or refine the items agreed in the plan. For example:

  • Customer Agent – connected to the right knowledge sources, handover rules and deployed to relevant channels

  • AI workflow actions – summaries, custom prompts, enrolling to agents, enrichment and prep notes where risk is low and review is easy

  • Buyer Intent and Signals – topics, target markets, key pages, exclusions, daily intent emails, automated CRM actions and usable views for sales

  • Smart properties – pain points, fit, opportunities, value drivers wired into lists, routing and reports

  • Agents (marketplace and custom) – for handover, prospecting, upsell, playbook summaries, company research and your specific use cases

  • Enrichment settings – auto-enrich existing records to fill missing data points, enabling better segmentation

All in your portal, using your fields, naming and lifecycle stages.

Training

  • Making AI part of normal work

  • Configuration sticks when people understand it.

  • Short, role-based sessions for marketing, sales, service or ops

  • Examples based on your own records, not demo data

  • Clear “use / do not use” guidance for each AI feature

  • Recording of sessions and short “how we use AI in HubSpot” notes

  • A simple dashboard in HubSpot that links to the tools and materials
Goal: your team can explain, in plain language, how AI helps them do their job.

3-month check-in

Review, refine, extend

Three months after go-live we meet again to:
  • Review where AI is being used and where it is ignored

  • Check basic impact metrics (for example prep time, response time, focus on intent accounts)

  • Review credit consumption against plan

  • Walk through any new relevant HubSpot AI releases

  • Decide what to keep as-is, what to adjust, and what (if anything) to add next

  • You can repeat this rhythm internally, or ask us to support later cycles.
