Practical AI in HubSpot
Most teams already have AI switched on in HubSpot.
Very few have it supporting the way they actually sell, market and support customers.
If your business is struggling to understand how AI within HubSpot can help you, we are here to help!
Table Of Contents
We focus on:
- Turning a small number of real processes into AI-assisted workflows
- Using tools you already have access to: Breeze, Buyer Intent, Customer Agent, Breeze Assistants, smart properties and agents
- Keeping humans in charge, with clear rules on where AI fits and where it does not
What to expect
You work with a HubSpot team that will:- Show you what AI is currently doing in your portal (and where it is in the way)
- Pick a handful of processes where AI can safely take the busywork
- Configure those features in your portal
- Train your teams to use them properly
- Come back after three months to review impact and new releases
The outcome is not “AI everywhere”.
It is a few well-chosen places where AI makes the day easier for your team.

Our process

Step 1
Audit
What AI is actually doing today
-
Inventory of AI features enabled: Breeze, Buyer Intent, Customer Agent, other Breeze Agents, Breeze Assistants, Smart Properties, AI Workflow actions
-
Quick review of how teams really use them (if at all)
-
Identify manual, repetitive tasks that AI could assist
-
Note any historic “AI experiments” or generic setups now causing confusion
Output: one-page AI usage summary and a shortlist of processes to improve.
Step 2
Planning
Choosing the right jobs for AI
-
Map the current process for each shortlisted area (for example: SDR prospecting, account reviews, ticket triage)
-
Decide which steps AI should support, and which must stay human-only
-
Recommend specific HubSpot AI tools for each process
-
Explain HubSpot credits in the context of your portal
-
Identify which specific AI tools or Agents are the primary consumers of these credits
-
Estimate likely credit usage and set sensible limits
Output: a 1–2 page AI activation plan that your leadership can sign off.
Step 3
Implementation
Configuring the parts that matter
We then configure or refine the items agreed in the plan. For example:
-
Customer Agent – connected to the right knowledge sources, handover rules and deployed to relevant channels
-
AI workflow actions – summaries, custom prompts, enrolling to agents, enrichment and prep notes where risk is low and review is easy
-
Buyer Intent and Signals – topics, target markets, key pages, exclusions, daily intent emails, automated CRM actions and usable views for sales
-
Smart properties – pain points, fit, opportunities, value drivers wired into lists, routing and reports
-
Agents (marketplace and custom) – for handover, prospecting, upsell, playbook summaries, company research and your specific use cases
-
Enrichment settings – auto-enrich existing records to fill missing data points, enabling better segmentation
All in your portal, using your fields, naming and lifecycle stages.
Step 4
Training
- Making AI part of normal work
- Configuration sticks when people understand it.
- Short, role-based sessions for marketing, sales, service or ops
- Examples based on your own records, not demo data
- Clear “use / do not use” guidance for each AI feature
- Recording of sessions and short “how we use AI in HubSpot” notes
- A simple dashboard in HubSpot that links to the tools and materials
Step 5
3-month check-in
Three months after go-live we meet again to:
- Review where AI is being used and where it is ignored
- Check basic impact metrics (for example prep time, response time, focus on intent accounts)
- Review credit consumption against plan
- Walk through any new relevant HubSpot AI releases
- Decide what to keep as-is, what to adjust, and what (if anything) to add next
- You can repeat this rhythm internally, or ask us to support later cycles.
Expertise across HubSpot Hubs
Is this for you?
A good fit if you:- Already have HubSpot Marketing, Sales or Service on paid tiers
- Can see AI features in the portal, but nobody “owns” how they are used
- Want to improve a few specific processes rather than “do AI” in general
- Need clear guardrails and training so AI is trusted, not avoided
- Prefer a defined project with a beginning and end, not an open-ended retainer
- Only need one-off help with an isolated AI feature
- Do not yet have your core processes set up properly in HubSpot
- Already have an internal team actively managing AI configuration and credits
- Are looking for custom AI product development outside HubSpot

Typical current state:
-
AI features switched on at different times with no overall plan
-
Teams copy data into external AI tools for basic tasks
-
Buyer Intent, Breeze and agents visible on screen but rarely used
-
No clear view of what consumes credits or what value it returns
![]()
Target future state:
-
A HubSpot portal where AI supports a small number of well-chosen processes
-
Clear ownership for each AI feature and its configuration
-
Teams using AI for preparation, prioritisation and drafting in defined scenarios
-
Credits understood, monitored and controlled
-
A simple quarterly review rhythm to keep pace with new releases

Frequently Asked Questions
-
Who is this for?
B2B companies using HubSpot who want AI to support concrete scenarios such as prospecting, account reviews, support queues or reporting.
-
Do we need HubSpot Enterprise?
No. Many useful AI features are available on Pro tiers. We confirm what is possible in your current subscription and highlight any limits.
-
We already use some AI features. Is this still relevant?
Yes. Often the first value comes from cleaning up earlier experiments and standardising how AI is used around a few core processes.
-
How long does it take?
Most activations run over four to eight weeks, depending on scope and your team’s availability.
-
Will this reduce my costs (ie save me money)?
Yes, it definitely will.
We will train your team and ensure that they use HubSpot's AI features to its fullest potential. You'll have immediate access to HubSpot experts all year round, with no need to worry about holidays or sick leave. You can enjoy peace of mind knowing that your portal is in good hands, and you can focus on growing your business.
-
What is a pre-discovery session?
Still not sure if this is for you?
No problem.
The first step we always start with is exploring your requirements and quickly confirming whether we think we're going to provide value to you.
If we don't think you'll get value, we'll advise other options for you.
